The Ambassador enters new era

When the Committee of The Ambassador, a 114 unit Canberra complex, completed in 2011 were facing extensive capital works, it became clear that their historical system of record keeping would not be able to handle the task.

Previously the committee relied on spreadsheets, shared drives and emails. This scattered and clunky approach to their building management needed an upgrade.  That is where Arcsite stepped in.

Committee member Darina Brady explained that while the strata manager had a portal, it had low adoption and limited effectiveness.

“We signed up with Arcsite in December 2025. Since then, we’ve been progressively rolling it out across the building, with strong engagement from residents and contractors,” Ms Brady said.

“As we began major capital works, including balcony restoration, we found the Arcsite team to be highly responsive. They’ve even added new features to support our project schedule and accommodate our project managers.

“We’ve been so impressed with the technology that we now require our strata and building management companies to use the system. This ensures everyone stays informed about every aspect of our building, helping to avoid delays and misinformation.

“The biggest advantage is the centralisation of data and the fact that the building itself owns that data.”

Arcsite founder Kelly Hill explained that the platform is designed as a lifetime operational layer for buildings, including full maintenance management, long term capital works planning, defect management and handover for new builds, and live occupant communications portal.

“The system allows residents to report maintenance issues in real time, complete with photos. This helps building managers quickly identify and resolve problems, and residents are notified about repairs and status updates in real time,” Ms Hill said.

“Tradespeople and contractors simply scan a QR code on site to log visits, comments and photos. No training, no new software, no disruption to how they work. They also get a free Arcsite portal, so they can see and stand behind the data their team contributes to the building.

“Over time, Arcsite is creating a comprehensive record of what’s been done, when, and by whom which reduces duplication, improves decision-making and significantly lowers operational and capital costs for owners. We liken it to the transformative effect that XERO and MYOB had on the finance industry decades ago. Strata is ready for a permanent, trusted source of truth.

“For buildings stuck in outdated proprietary systems where the data is not accessible, transferable or transparent, Arcsite represents a new era in building and asset management.”

In conclusion, Ms Brady said residents were pleased with how the rollout was handled and Arcsite was building momentum.

Arcsite is intuitive and easy to use. We’re happy with the investment and look forward to working with the portal into the future.”
