Icon Apartments: Building Management That Goes Beyond the Brief

At Melbourne Icon’s 122-apartment mixed-use building, District Facility Management Services has earned strong praise from Owners Corporation Committee members for its hands-on support, forward planning and commitment to getting the basics right.
Since coming on board just over a year ago, District Facility Management Services (DFMS) has worked closely with Icon’s Owners Corporation Committee to provide building and facility management across the apartment and commercial precinct. With the building currently transitioning to new management, DFMS has also played an important role in keeping the handover process moving and ensuring accountability remains front of mind.
Owners Corporation Committee member Natalia said DFMS had consistently exceeded expectations, particularly during a period of change for the building.
“DFMS have been doing more than what is required and keeping the OC management accountable, especially as we transition to new management,” Natalia said. “We have been very happy — DFMS are going above and beyond.”
DFMS provides an onsite team member from 8am to 4pm, staffing reception, coordinating cleaning, managing resident move-ins and move-outs, and acting as the first point of contact for matters that need to be resolved.
“DFMS have been brilliant — we have no complaints,” Natalia said. “They are super quick, very hands on, and even when we had to call management at 11pm one night, they answered. As a committee, we have had zero issues and could not see any areas for improvement.”
Committee Chair Jacob said DFMS arrived at a challenging time, after the departure of a previous building manager left the building without clear systems, procedures or a proper handover. He credited Niyal and the DFMS team with quickly establishing structure and control.
“We were very fortunate with Niyal,” Jacob said. “He came in at a challenging time, when there were no systems and no handover, and he and the team had to create procedures from scratch and regain control of the building systems.”
Jacob also highlighted DFMS’s long-term thinking as a major strength, pointing to proactive work on future-focused projects including solar quotes and package lockers to improve resident safety and convenience.
“DFMS have been absolute lifesavers, we're glad we have them with us as we navigate the building's future,” Jacob said. “They plan ahead and are long-term thinkers, which is a real strength. Niyal in particular is always focused on the future.”
With an ageing building and past maintenance gaps to address, DFMS has also supported the Committee in reviewing its maintenance plan and taking practical action.
“What Niyal has achieved in the last 12 months is more than we have had from successive companies in the last four years,” Jacob said. “He has partnered with the Committee — he has building management credentials, but he also wears a project management hat.”
For the Icon Committee, the feedback is clear: DFMS has brought reliability, responsiveness and strategic focus to the building, helping restore confidence while supporting both day-to-day operations and longer-term improvements.
